With reference to above, I am directed to convey that the competent authority has accorded his approval for the above purchase through your firm. You are requested to supply the following items as per the terms and conditions of CSMRS duly signed by you in your bid. Some of the terms and conditions are furnished in Annexure-I.

Annexure-I

Terms and Conditions for the Supply of Remote Operated Underwater Vehicle (ROV)

1. The supply should be made within a period of 6-8 weeks from the date of establishment of letter of credit.
2. As per the understanding of your Agent in India, the Agent’s commission shall be paid by you in Indian currency directly to them after successful installation, commissioning and training of the CSMRS personnel or as applicable.
3. L/C shall be established for the amount of Euro 86580/- (Euro eighty six thousand five hundred eighty only) in favour of your firm. All the bank charges outside India for opening of L/C shall be borne by you.
4. 90% payment shall be made to your firm on proof of dispatch of shipment papers and remaining 10% shall be paid after the successful installation, demonstration and training of the personnel.
5. A comprehensive warranty of one year shall be given from the date of satisfactory installation of the equipment against all manufacturing defects. During the warranty period, all replacements of defective parts/repairs of the equipment should be arranged free of charge.
6. Documents such as manufacturer’s test certificate, warranty card, operation manual for equipments and accessories and other peripherals to aid in the usage of the equipment should also be should also be supplied in quadruplicate.
7. The order No. and date must appear on challans/notes/bills/invoices and packages against the supply order. Otherwise the verification of goods is likely to be delayed at the time of customs clearance etc. Please note that CSMRS will not bear any extra cost like demurrage charges, etc. levied by concerned authority.
8. The equipments and accessories should be packed securely and dispatched by flight only to New Delhi. The Indian Agent M/s LMS Technologies, New Delhi will be liable to install the equipment at this office. This office shall not be responsible for any loss/damage/shortage of any item in transit.
9. Proper demonstration and training to our officials for the use of the equipments and accessories should be arranged.
10. Consignee shall be SRO (Stores).
11. Packing list giving full particulars with quantity of the items contained must be placed immediately below the cover of package. Our purchase order number should be marked in large letters clearly on prominent places on the packing cases as well as on packing lists/slips.
12. The invoice, airways bills, dispatch documents, freight statements, packing lists, certificate of origin etc. shall be forwarded to the Procurement Officer in quadruplicate by speed post/ courier service immediately after dispatch of ordered materials otherwise the demurrage/warp-age, if any, will be deducted from the supplier’s bill without making any reference.
13. This office reserves the right to reject the stores/ supplies in part or in full covered in the order at any stage if they are not according to the ordered specifications. Part supplies against this order will not be accepted.
14. In the event of non-supply of full quantity as ordered within the stipulated time, the EMD is liable to be forfeited without further notice.
15. Acknowledgement receipt and confirmation of this order should be sent by return post/fax.

If the above terms and conditions are acceptable to your firm, please execute the order immediately and furnish the final invoice attaching therewith all other cash receipt/ paid vouchers etc. addressed to Director, CSMRS or Procurement Officer, Central Soil and Materials Research Station , Olof Palme Marg, Outer Ring Road, Hauz Khas, New Delhi-110016.
